Exhibit Booth Parameters

ExpoCam provides exhibitors with a standard black drape booth that includes an 8’ high backwall and 3’ high sidewalls. Custom booth builds / designs are permitted and encouraged at ExpoCam — provided they meet the parameters outlined below. Custom booths that do not meet these parameters may be required to make modifications onsite to comply.

Linear Booths also referred to as “in-line” booths are generally arranged in a straight line and have neighbouring exhibitors on their immediate right and left, leaving only one side exposed to the aisle.

Dimensions and Use of Space

  • Depth: 10ft (3.05m)
  • Width: 10ft (3.05m) or more
  • Maximum backwall height: 8ft (2.44m)
  • Maximum sidewall height:  8ft (2.44m) in rear half of booth space (up to 5ft in length), leaving the remaining front half limited to 4ft (1.22m) in height
  • Display materials should be arranged to not obstruct the sightlines of neighbouring exhibitors

Corner Booths have exposure to intersecting aisles on two sides. The guidelines for Linear Booths apply to Corner Booths.

Perimeter booths are Linear Booths that back onto an outside wall of the exhibit hall.

Dimensions and Use of Space

  • The guidelines for Linear Booths apply to Perimeter Booths, except the maximum back wall height can extend up to 12ft (3.66m)

 End-Cap Booths are open and exposed to three aisles.

Dimensions and Use of Space

  • Generally, 10ft (3.05m) deep by 20ft (6.10m) wide
  • Maximum backwall height: 8ft (2.44m) at the centre of the backwall for a maximum width of 10ft (3.05m), dropping down to a maximum 4ft (1.22m)   height on either side
  • Maximum backwall width: 20ft (6.10m)
  • Display materials should be arranged so as not to obstruct sightlines of neighbouring exhibitors

Peninsula Booths are exposed to three aisles and are a minimum of 400 sq ft (37.16 sm).

Peninsula Booths can back onto Linear Booths or onto another Peninsula Booths.

Dimensions and Use of Space

  • Width: 20ft (6.10m)
  • Depth:  20ft (6.10m) or more
  • Maximum backwall height: up to 12ft (3.66m) — IF backing onto another peninsula booth. If backing onto Linear Booths, the guidelines for End-Cap booths apply
  • Maximum backwall height: 8ft (2.44m) if backing onto a linear booth
  • Double-sided signs, logos and graphics shall be set back 10ft (3.05m) from adjacent booths

Island Booths are open-concept booths that are exposed to aisles on all four sides.

Dimensions and Use of Space

  • Width: 20ft (6.10m) or more
  • Depth: 20ft (6.10m) or more
  • Island Booths are open-concept and should not be built with any side walls or back walls
  • The entire cubic content of the space may be used up to the maximum allowable height of 16ft (4.88m)

Split Island Booths are Peninsula Booths that share their back wall with another Peninsula Booth.

Dimensions and Use of Space

  • Generally, 20ft (6.10m) deep by 20ft (6.10m) wide
  • Maximum back wall height: up to 12ft (3.66m)  
  • The entire cubic content of this booth may be used up to the maximum allowable height
  • A full 8’h backwall will be placed between Split Island Booths to allow both exhibitors maximum use of space
  • Double-sided signs, logos and graphics shall be set back 10ft (3.05m) from adjacent Booths
  • Linear Booths:  8ft (2.44m)
  • Perimeter Booths:  12ft (3.66m)
  • End-cap Booths:  8ft (2.44m)
  • Peninsula Booths:  up to 12ft (3.66m) — IF backing onto another peninsula booth. If   backing onto Linear Booths, the guidelines for End-Cap booths apply  
  • Island Booths:  up to 16ft (4.88m)
  • Split Island Booths: up to 12ft (3.66m)

 

*Additional allowance may be made by Show Management based on location, sightlines and other considerations. All approvals are at the full discretion of Show Management.

Exhibits 400 sq.ft (37.16 sm) or larger, as well as booths with display vehicles or heavy equipment, must complete an Exhibit Installation Questionnaire. Booth designs and schematics (including dimensions) must also be submitted and can be done so via the upload link/area at the bottom of the questionnaire. This information will assist with finalizing your move-in & move-out schedule.

Be mindful of your neighbour’s booth visibility. Please do not cause any sightline obstructions (ie. pull up banners, displays, etc.) in front of neighbouring booths.

Please advise Show Management if you will be holding any In-booth Activations OR hosting Hospitality Suites, Receptions or other events. The Hospitality Suites/Receptions/other events must avoid conflicting with show hours.  Please complete the Booth Activation & Hospitality Suites form and submit by Friday, January 17, 2025.

All floor surfaces of booth displays must be covered with carpet or other approved floor covering —  at the exhibitor’s entire expense. Exhibitors can rent carpet through the general services contractor/show decorator, GES, or they can bring their own suitable floor covering. Exhibit booths found without carpet on-site will be required to place an order with GES.

NOTE: Floor covering is not required under display vehicles/equipment however plastic covering is required under all display vehicles/equipment that have been power washed during move-in.

Exhibitors who wish to lay down their own carpet or floor covering must use adhesive tape that will not damage the facility floor. You can purchase the approved brand of double-sided carpet during move-in from the GES service desk.

NOTE: If incorrect carpet tape is used, any floor cleaning charges will be billed back to the exhibitor. Exhibitors installing their own floor covering must arrange to have the carpet and tape removed during move-out. Recommended brands of double-sided tape:

  • Polyken 105c LPDE
  • Scapa 274004 or DC-W002A

Booth cleaning services are not included by show management and must be ordered by each exhibiting company through the facility, at the expense of the exhibitor. The facility will provide complimentary emptying of wastebaskets/garbage bins provided the bins are placed in the aisles outside each booth at the end of each show day. Wastebaskets/garbage bins left inside booths will not be emptied.

Booth personnel including salespeople, demonstrators, receptionists, and models/hostesses are required to confine their activities within the exhibitor’s booth space. No exceptions.

Exhibitors’ rented booth space must remain in good condition. They must not use or allow the use of nails, screws, hooks, or other similar fixtures for attaching any items. It is forbidden to paint the floor or put anything on the floor without adequate protection and approval by the facility.

Show Management reserves the right to restrict the use of glaring lights, objectionable lighting effects, or exceptionally noisy machinery. Sound presentations, slides, or movies will be permitted, if tuned to a conversational level, and, if not objectionable to neighbouring exhibitors.

Use of air horns is strictly prohibited.

No exhibits will be permitted which interfere with the use of other exhibits or impede access to them or impede the free use of the aisle(s).

Five (5) badges are provided per 100 square feet. Exhibitor booth personnel can register their badges online starting in November 2024. Exhibitor badges will not be mailed and can be picked up on show site from the registration desk during move-in and show days (located on Level 2 in the lobby/Viger Hall). Badges must be worn in the exhibit halls and are required upon entry to the show floor.

No removal or dismantling of exhibits or exhibit material is permitted before 4:01 pm on February 8, 2025. Any exhibitor who starts to pack or dismantle their booth prior to the show closing will be charged a fee of $1,000 and may forfeit any seniority to future shows.  Show Management and/or GES will apply charges for removal of exhibit materials left in the building following move-out end date/time. Exhibitors with display vehicles must comply with the designated move-out schedule and procedures.

Hanging signs are only permitted in Peninsula, Island, and Split Island booth configurations with booth spaces equal to 20’x20′ or larger. To ensure maximum visibility, signs will be hung at staggered heights, according to applicable height restrictions or as determined by Show Management. A maximum height range of 12’ to 16’ from the floor to the bottom of the sign is applicable. Hanging signs should be set back 10ft (3.05m) from adjacent booths and hang directly over contracted space only.

NOTE: Hanging sign requests must be approved by Show Management a minimum of 60 days prior to move-in.

A sign installed on the neighbouring adjoining wall is authorized only on the inside wall of exhibits. Walls over 8’ high (visible from a neighbouring booth) must look presentable and clean without any logo or identification. Double-sided signs, logos and graphics must be set back 10’ (3.05m) from adjacent booths.

IMPORTANT: Signs weighing 50 lbs or less will be quoted and hung by the Palais des congrès de Montréal. Signs exceeding 50lbs in weight or with multiple hanging points is considered rigging and will be quoted and hung by the technical team from the in-house audio-visual company, TKNL.

All exhibitors at ExpoCam must have adequate Liability Insurance (Certificate of Insurance – COI) with a minimum limit of $2,000,000 that includes coverage for move-in, show days and move-out.

Mechanical conveyances (ie. electric carts, scooters, robots, or bicycles) are not permitted in the aisles during show hours. The only exception will be in the case of a person with a disability visiting the show, and duly authorized show personnel. Exhibitors demonstrating mechanical or electrical products in their booth are required to take appropriate safety precautions and have adequate insurance coverage.

A color-coded floor plan indicating move-in and move-out times for each exhibit booth will be provided 6 – 8 weeks prior to the show. All exhibit booths 400 sq.ft (37.16 sm) or larger, OR booths with display vehicles/equipment, are required to complete the Exhibit Installation Questionnaire. Information regarding your exhibit booth, display materials, and booth design will be assessed and help determine the move-in and move-out schedules. The deadline date for submission of the Exhibit Installation Questionnaire is November 15, 2024.

Final payment for exhibit space must be made by November 6, 2024. Full payment for exhibit spaces sold after November 6 is due upon receipt of invoice. Show Management reserves the right to refuse entry to any exhibitor whose account has not been paid for in full, prior to move-in.

Exhibitors are required to always maintain a staff member in their exhibit during the hours of the show. Security concerns can arise when booths are not staffed. Exhibitors are reminded that Show Management does NOT assume any responsibility for losses.

Pop-up tents and canopies may be permitted but must follow all local fire and facility regulations. In addition, for Linear or Perimeter booths, tents and canopies may not exceed 8ft (2.44m) in height and must comply with line-of-sight requirements. The sides and backs must not have branding and/or logos directly visible in neighbouring booths. Tents and canopies must be flame retardant and one of the following three certifications must be provided to the facility for review and approval:

  • A label confirming that the fabric is NFPA 701 certified
  • A label confirming that the vinyl is CPAI-84 certified
  • A certificate from an accredited company indicating that the material is flame-retardant.

All vehicles entering the show flow must be dry and clean: free of water, ice, snow, debris, mud or lubricant. If requested by the Palais, waterproof barriers or pads must be placed underneath the vehicles to protect the underlying flooring and structures.

All fuel tank caps on vehicles and other combustion engines on display (except for tanks that have never contained fuel) must be locked or sealed with tape to prevent vapour leaks. Fuel tanks of vehicles on display must not be more than half-full or contain more than 38 litres of fuel.

Storage cells (batteries) must be disconnected. For engines not powered by a starter battery, all spark plugs must be removed.

Propane tanks used in recreational, commercial, and other vehicles must be empty and sealed before entering the exhibition halls.

Anti-theft devices and other accessories cannot be powered by the standard ignition battery; they must be powered by an external source that cannot be used to power the engine.

Starter batteries for internal combustion engine and hybrid vehicles must be disconnected.

Starter batteries for electric vehicles do not need to be disconnected.

Vehicles may not be moved during opening hours. No combustion engine may be started during the exhibition. Refueling and defueling vehicles and other combustion engines are strictly prohibited inside the building.

Exhibit booths with electric powered vehicles on display must maintain a portable fire extinguisher in the booth or near the vehicle(s). An ABC multipurpose powder extinguisher with a capacity of 5 lbs is mandatory.

Consult Expo Inc. is the official customs broker of ExpoCam and can assist you in in preparing your shipment and navigating all customs requirements including customs clearance at all international borders, ensuring you have the full set of documents required by your destination country.   • On-site service from the first move-in day to the last day of move-out
  • Canada customs clearance in Canada, USA, and other countries
  • Assist and prepare essential customs documentations
  • Post all securities and bonds with the Canadian Border Services Agency and US Customs
  • Prepare Customs entries to account for any sales you may have and remit payments to government agencies
  • Prepare return export documents, bills of lading, shipping labels, and provide U.S. Customs Clearance and to other countries.

To provide unobstructed emergency egress during move-in/move-out, freight free aisles will be designated. Freight free aisles will be regularly monitored by GES, facility staff and Show Management: any items found in freight free aisles (such as, but not limited to, vehicles, crates, carpet, boxes, etc.) will be required to be removed immediately. All emergency exits and passageways of the facility must be kept clear as per Montreal Fire Marshal (SIM) requirements.

Exhibitors who do not require material handling or forklift services can hand carry their materials onto the show floor, with or without the use of a dolly. A limited number of dollies will be available to exhibitors during move-in and move-out. Only one dolly will be issued per company. Dolly use is on a first-come, first-served basis. Dollies are not permitted on passenger elevators, prefunction spaces, in the parking lot or on the surrounding streets.

GES is the exclusive provider of material handling/drayage forklift services. Material handling/drayage services are included with your booth space fees and covers the movement of materials to and from your booth. Exhibit assembly and disassembly is not included. This service is not to be confused with the shipment of your exhibit materials or advance warehousing, which are at the exhibitor’s full expense.

Material handling INCLUDES the unloading of your exhibit materials, delivery to your booth, handling of empty containers to and from storage, and removal of your materials from your booth for reloading onto your outbound carrier.

Complete the Exhibit Installation Questionnaire to provide details of the exhibit materials arriving on show site for your booth.

Machinery, Labour and Equipment: Labour and equipment for uncrating, unskidding, positioning, leveling, dismantling, re-crating, and rescinding machinery and/or equipment must be ordered separately. Place your order with GES on their In-Booth Forklift and Labour Services pages in their online portal.

NOTE: The exhibit hall loading doors close at 7:00 pm on Wednesday, February 5. All freight/crates/packing materials must be cleared from the aisles by 7:00 pm in preparation for the installation of the aisle carpets. Exhibitors may remain working in their booths until 8:00 pm.

General Show Information

Persons under the age of 18 are not permitted in the exhibit hall during move-in or move-out.

During show hours, children under the age of 18 years are permitted, subject to show management approval, when accompanied by an adult and having a Child Waiver Form completed at registration.

Canadian contests must comply with provisions of the Criminal CodeCompetition Act, and, if Québec residents may enter, Québec’s Act Respecting Lotteries, and Amusement Machinery. Also, if personal information is collected during the contest for any secondary purpose, then the contest must also comply with Canada’s federal privacy law called the Personal Information Protection and Electronic Documents Act. Show Management reserves the right to refuse admission to the show to any visitor, exhibitor, or exhibitor’s employee, whom in the opinion of Show Management is disruptive at the show. Abusive language, threats, assaults, vandalism, theft, and all other inappropriate actions will result in immediate removal from the premises and prosecution, if appropriate.

Exhibitors must abide by the fire prevention regulations of the Montréal Fire Department (Service de sécurité d’incendie de Montréal) for governing exhibits and displays in public buildings. You can find these regulations HERE.

Exhibit booths with electric powered vehicles on display must maintain a portable fire extinguisher in the booth or near the vehicle(s). An ABC multipurpose powder extinguisher with a capacity of 5 lbs is mandatory. Unobstructed access must be reserved to evacuate the vehicle outside the building. Electric vehicles should be in accessory mode, as much as possible.

Maestro Culinaire has exclusive food and beverage distribution rights within the Facility. No outside food or beverage may be brought into the premises by exhibitors, visitors or suppliers. Exhibitors can arrange for in-booth catering for their staff (ie. lunches, coffee & tea service, etc.) through Maestro Culinaire. Click for a hospitality booth menu.

Exhibitors must request approval from Maestro Culinaire for all food and/or beverage sampling and food and beverage giveaways (ie. branded candy, chocolate, plastic water bottles, etc.), in adherence to conditions outlined in their Food & Beverage Exclusivity document. Exhibitors must follow the guidelines outlined by the ‘’Charter of the French Language’’ and the ‘’Regulation respecting the language of commerce and business’’ regarding the use of French and other languages on public signs and notices, on product labels and packaging and, if applicable on commercial advertising and publications distributed to the public. Photography/videography of other exhibitors’ booths may not be taken without permission of that organization.

Popcorn machines, glitter and confetti are not permitted due to the debris potential. Helium balloons are not permitted.

Distribution of promotional material and soliciting of business must be confined to the exhibitor’s booth space. Such activities are not permitted in the aisles, restaurants, registration area, hallways, washrooms or other exhibits.

The Palais des congrès de Montréal has a recycling program in place. Exhibitor cooperation is requested to:

  • Use the recycling and garbage bins as marked – large bins will be made available on the show floor during move-in and move-out. If exhibitors do not see the bins, please inform the Cleaning Staff and they will be pleased to help.
  • During event days garbage, recycling and food compost receptacles will be available throughout the show floor and in restaurant areas.
  • Keep food separate from other materials – if normally recyclable material is contaminated by food or drink, it will be sent to landfill.

During move-in and move-out, exhibitors will not be permitted on the show floor without sturdy, closed toe footwear. CSA approved safety shoes are highly recommended. NO open toe shoes, sandals, or heels are permitted. Exhibitor personnel not wearing closed toe shoes will be required to sign a Safety Shoe Waiver with show security or Show Management. Access to the show floor will not be granted if these guidelines are not met.

All personnel in the exhibit halls are required to abide by the health and safety regulations of the Quebec Occupational Health and Safety Act and the facility’s Exhibit Health & Safety Requirements. Additionally, the ExpoCam Exhibit Health & Safety acknowledgement must be completed during exhibitor badge registration online.

There will be 24-hour security coverage from the start of move-in until the end of move-out for general patrol of the show floor. Show Management does NOT assume any responsibility for losses incurred from pilferage or any other causes. Exhibitors should take all possible precautions to protect their own exhibit property and should have appropriate insurance. Small items such as laptop computers and cellular phones should NEVER be left unattended.

Exhibitor booth security is optional and can be arranged with the show security company. Information coming soon.

Except for guide dogs for the visually impaired, no animals, birds or pets are permitted in the building without prior written approval of Show Management and the Palais des congrès de Montréal. Approval is based on the need for the presence of the animal in the context of an exhibit, activity or during a performance. If consent is granted, it is understood that the animal must remain on a leash, or in a cage depending on the circumstances, at all times. The owner must have all health and vaccination certificates of the animal in his possession.

In accordance with the Government of Québec Tobacco and Vaping Contral Act, all areas at Palais des congrès de Montréal are designated as non-smoking. Smoking is permitted outside the building at a distance of 9m (29’ 5’’) from all access doors. In keeping with this law, any non-compliance will be subject to a fine.

Show Management does not provide lockable storage for exhibitor use. Please take your storage requirements into account when designing your booth.

NOTE: City of Montreal Fire Regulations do not permit the storage of boxes or empty packing materials behind exhibitors’ booths. ALL storage (empty or accessible/full) will be removed from the exhibit hall by GES and taken to the storage area. Please ensure you have the appropriate storage label on your materials, so they are stored accordingly and not mistaken for waste. Storage labels will be available at both the GES Service Desk and Palais des congrès Exhibitor Services Desk.

Other Information

Show Management has the right to make such changes, amendments and additions to these Exhibit Rules and Regulations as it shall deem necessary to the proper conduct of the Exposition. The Exhibit Rules and Regulations as amended shall govern in all cases. Interpretation of the Exhibit Rules and Regulations shall rest with Show Management and its decision shall be final. Show Management may require exhibitors to make such alterations to their displays as it deems necessary to the proper conduct of the Exposition and, on failure to comply, may order the immediate removal of the entire exhibit without compensation and at the Exhibitor’s expense. Exhibitors failing to observe the Rules and Regulations may be removed from the exhibit hall.

An exhibitor may not show counterfeit products, or another manufacturer’s products which have been purchased or lifted from a distributor or another manufacturer, or any products which are deemed by Show Management in its sole discretion to be deceptively or illegally marketed. Exhibitors who display products on the show floor or offer products in their catalogues displayed at ExpoCam that are found to violate a patent or trademark will face sanctions by Show Management. Sanctions are up to the Show Management, and may include closing the booth, together with a ban from the show and loss of seniority privileges and other sanctions as deemed appropriate by Show Management.
